Director of Academic Services and Registration

Phoenix School of Law, an institution that aims to establish itself as a leader in outcome-based legal education seeks applications for the full-time position of Director of Academic Services & Registration.  The school is a member of the InfiLaw Consortium of Law Schools, which operates law schools in Phoenix, AZ, Jacksonville, FL, and Charlotte, NC. The Academic Services department, a component of the Office of Academic Affairs, serves as the principal custodian of all student academic records, administers all aspects of the law school's examination system, assists the associate dean for academic affairs in academic planning, faculty training and the scheduling of courses as well as the development of the academic calendar, prepares various reports including graduation audits and certification, and assists in the coordination of the law school's commencement activities.

Responsibilities and Duties:

  1. Serve as initial contact for all student academic-related concerns, questions, and policy interpretation.
  2. Serve as initial review of all student academic petitions and waivers; meet with students as needed and make decision to approve or seek additional approval.
  3. Assist in the planning and facilitation of Full-time Faculty orientation and training.
  4. Assist in planning and facilitation of Adjunct Faculty orientation and training.
  5. Assist in planning and facilitation of Academic Affairs portion of student orientation.
  6. Provide initial review of faculty syllabi and examinations.
  7. Supervises Assistant Registrar position, to include daily activities and evaluation.
  8. Provide statistical data for ABA, Committees, and faculty/Deans as requested. Proficient query writing to obtain necessary information for ABA and other reporting requirements.
  9. Preparation of academic calendar and schedule of courses with input from administration and faculty. Maintain course scheduling database.
  10. Produce an appropriate registration schedule and format, working with other administrative offices, insuring that all law students are properly registered for courses.  Maintains and updates CampusVue Records/Registration database.
  11. Administers entire examination process.  Oversees the development of the midterm and final examination schedules, arranges for special accommodations for students with disabilities under the ADA, oversees the administration (both bluebook and ExamSoft) and processing of exams, and facilitates the delivery of exams to faculty for grading within 2 business days of administration.
  12. Responsible for the entry of grades into the CampusVue database, interacts with other administrative offices on grade entry policies and protocols, creates class ranks, advises appropriate deans and students of academic deficiencies and failed courses, maintains grading files and record systems,  administers and monitors compliance with law school grading policies including mandatory grade distribution.
  13. Insures that graduating students meet the relevant graduation requirements. Coordinate degree audits with graduating students.
  14. Responsible for publication of Course Catalog and Student Handbook including corrections, revisions, web publishing, and student notification.
  15. Perform other duties as assigned by the Associate Dean for Academic Affairs.

Qualifications: We are looking for a “go to” person to assist the Academic Dean and to oversee the office of Registration, able to quickly and accurately solve problems and address issues arising in the academic setting of a relatively new law school. We need a positive, hardworking, team-player who gets along well with students, staff, faculty and administrators. This person should be a quick learner, open to new ideas, and have superior oral and written communication skills. This person also should have a high level of organizational ability and be able to see the big picture as well as pay attention to critical details.

Minimum Requirements: Master’s degree. At least 5 years of business, legal, or administrative experience—preferably in an academic setting. Must be proficient in student data management and word processing systems such as Word, Excel, and Web technology.

Director of Information Resources & Technology

The Phoenix School of Law is seeking applications for the Director of Information Resources & Technology (or Assistant or Associate Dean depending on qualifications) with the possibility of faculty appointment. The Phoenix School of Law is part of the Infilaw consortium of law schools.

Responsibilities:
Manages and provides oversight for all library and information technology operations of the law school; in consultation with the faculty, develops law library collections in all formats that will meet ABA accreditation standards; oversees development of law school technology infrastructure; creates and/or refines policies and procedures; plans for and maintains budgets for the Information Resources Center (IRC) and Information Technology (IT); participates as a member of the law school senior management team; participates in various InfiLaw consortium committees. 

Depending on appointment, participates in teaching in the law school as needed and produces scholarship that relates to primary job functions.

Requirements:
J.D. from an ABA-accredited law school; Master’s degree from an ALA-accredited library school; significant administrative and supervisory experience in an academic law library; strong background and understanding of law school and instructional technology; experience developing and writing policies and procedures; experience and expert knowledge of legal materials and legal research techniques; awareness of current trends in libraries and technology and excellent knowledge of library and IT management, legal research, library automation, budgeting, planning and library instructional programs; strong oral and written communication skills; excellent instructional and teaching skills; significant, or potential for, scholarship; commitment to enhancing services through teamwork and responsiveness to clients; flexibility and enthusiasm for working in a collaborative environment.

Salary and Benefits:
Salary will be commensurate with qualifications and experience.  Depending on qualifications, the selected candidate may be considered for an Assistant or Associate Dean and/or a faculty position.

The Phoenix School of Law was established in 2005 and received ABA provisional accreditation in 2007. It is part of the InfiLaw consortium of law schools and is committed to a learning experience that is student-centered and creates practice-ready graduates.

The IRC provides access to over 100,000 volumes and volume-equivalents and many electronic resources. The IRC and IT staff currently serve a law school with 21 full-time faculty members and 350 students. The IRC is staffed with 5 librarians, 4 library assistants, and 5 circulation aides. The IT department is comprised of 4 staff members.

Public Services Librarian

PhoenixLaw currently has an opening for a Public Services Librarian in the Information Resources Center (IRC). As a member of the Public Services team, the Public Services Librarian provides legal and non-legal reference services to the faculty and growing student body through a variety of services. These services include but are not limited to one-on-one sessions, email communications, lectures and written study aides. Additional responsibilities include working shifts at the reference desk and answer legal reference and general questions from patrons and check materials in and out; participate in the faculty liaison program which entails corresponding with your faculty to get their research needs, responding to requests for information, and participating with research assistance; provide legal research instruction through one-on-one sessions, lectures, and participation in the Lawyering Process program; assist with the collection development of the IRC; assist in writing and implementing policies and procedures; prepare bibliographic guides for patrons; supervise law library assistants; and assist in supervising circulation aides during reference desk shifts. Other duties will be assigned as appropriate. This position reports to the Assistant Director of the IRC.

The successful candidate for this position will possess an M.L.S., M.L.I.S. or equivalent from an ALA-accredited school; J.D. degree (preferred) or equivalent legal knowledge and experience. Law library experience, academic law library preferred. Customer service experience in dealing with the public; classroom instructional experience, preferred; experience with integrated library system software; Innovative Interfaces (III) Millennium preferred; working knowledge of standard computer software programs (Windows, MS Office applications); knowledge of the Library of Congress classification system; knowledge of legal research materials in all formats; strong interpersonal skills; competent oral and written communication skills; ability to lift and carry at least 30+ pounds and to push and pull 100 pound rolling book carts; sit for long periods of time; and monitor a computer display for long periods of time.
